Automation and Advisory

Goals and project management.

Goals and project management means knowing where every project stands without a meeting to find out. F3 Insights works in the project tools your company already uses and automates around them: status gathered from email and meetings, a weekly briefing for leadership, stuck work flagged, and follow-ups drafted for a person to send.

The problem

More Projects Than Anyone Can Hold in Their Head

A growing company runs far more projects than any one person can track. The plan exists, but the status of the plan is scattered, and a good share of the leadership calendar goes to meetings whose real purpose is finding out what is going on.

01

Status lives everywhere

Some projects sit in a project tool, some in a spreadsheet, and some only in email threads and people's memory. Nobody has the whole list.

02

Goals do not connect to the work

The goals are written down once. It is hard to see which projects serve which goal, and which goals have no work behind them.

03

Status meetings exist to find status

The weekly meeting goes around the room asking where things stand, instead of deciding what to do about it.

04

Follow-ups fall through

Someone promised a number or a decision last week. Nobody is sure who is waiting on whom.

How we work

It Starts with How You Track Projects Today

The problem is common. The fix depends on the tools and habits your team already has, so we look before we build.

01

Assess how projects are tracked

We review where projects live now: the project tool, the spreadsheets, the email threads and the recurring status meetings. We note what is tracked well, what is missing and where status really comes from.

02

Agree what leadership needs to see

With the leadership team we settle the goals, the projects that serve each one, and what a useful weekly view looks like: what moved, what is overdue, what is stuck and who owes what.

03

Build the automations in your tools

We connect AI assistants and scheduled automations to your project tool, email, calendar and Teams or Slack, so status is gathered and the briefing is written without anyone compiling it.

04

Tune it with the team

In follow-up sessions we adjust the briefing, the flags and the drafted follow-ups until leaders trust them and read them as part of a normal week.

05

Keep it current

Projects start and finish, and priorities shift. We add automations and adjust the view as the company changes.

What we automate

Around the Tools You Already Use

If your team already runs projects in a project tracker or shared spreadsheets, we work there. These are the pieces leadership teams most often ask for.

01

Status gathered from email and meetings

Updates that arrive in email threads and meeting notes are matched to the right project, so the record keeps up without anyone retyping it.

02

A weekly briefing

A short summary of what moved, what is overdue and what is stuck, on the schedule your team chooses, sent by email or to Teams or Slack.

03

Overdue and stuck work flagged

Projects that have gone quiet, tasks past their date and work waiting on someone are flagged before the next meeting, not during it.

04

Follow-ups, drafted

Follow-up emails to the people who owe an update are drafted for a person to review and send. Nothing is sent automatically.

05

Goals linked to the projects that serve them

Each project is tied to the company goal it serves, so leadership can see which goals have work behind them and which do not.

06

Meeting prep

Before a meeting, a brief drawn from the relevant projects, their notes and the related email history.

No system yet

If Projects Live Only in Email and Spreadsheets

We can set a system up for you, and it stays with you.

Some companies have no project tool at all, or one nobody updates. For them we can set up a goals and project system, load the work already in flight, train the leadership team, and leave it with the company. The same automations then run around it. Where your team already has a tool it is happy with, we build around that instead.

Who it fits

Leadership Teams of Growing Companies

It fits leadership teams of growing companies, typically $10M-$70M in revenue, running more projects than they can follow by email and memory.

Venture funds and other fundraising organizations use the same approach to keep track of their pipeline and portfolio work.

Questions

Goals and Project Management, Answered

Do we have to switch project tools?

No. If your team already uses a project tracker or shared spreadsheets, we work there and automate around them. The briefing, the flags and the drafted follow-ups come from the tool you have. We suggest setting up a system only when there is nothing to build on.

How is this different from buying a project management tool?

A project tool holds the tasks, but someone still has to keep it current and pull the status together. This is the work around the tool: gathering status from email and meetings, writing the briefing, flagging stuck work and drafting follow-ups. We set it up and tune it with your team rather than handing over a login.

Who owns it?

Your company does. Your project tool, your data and the automations built around them stay yours. If we set up a goals and project system for you, it is set up for your company and stays with you after we hand it over. The goals, projects, notes and decisions in it are your company's records.

Does it send anything on its own?

No. It drafts follow-up emails and prepares briefings, but a person reviews every email and sends it. Nothing is sent on anyone's behalf. It works alongside your existing email, calendar and project tool rather than replacing them, so messages still go out from the people who wrote them.
